Aproove's 2022/R5 Maintenance Release containing some Bonus Features!

The R5/2022 release is officially a "Maintenance Release" for Aproove, with some significant enhancements behind the scenes to improve efficiency and build the foundations for our major new R6 release coming soon!
However, we cannot make a release without giving you some new features!
Release 2022/R5 is live!
The R5 release was always intended to be a maintenance release that allowed us to make some back-end improvements to improve speed and stability while also improving the new interface we launched in R4. The R5 release also enables us to lay some foundations for our HUGE new release coming in R6 that contains some substantial new modules and features.
However, this is Aproove; we cannot make a release without giving our users some shiny new features including, Project Level Forms!

Project Forms are now available in the Dashboard!
Forms have been a concept inside Aproove for a long time. A form can be customized to capture the information required by your business. That information is stored as metadata and can be extracted at specific workflow points. For example, when your workflow hits a review step, it could use the metadata input in the form to determine who the reviewers are that need to be notified in that workflow step. This is a basic example, but simply put, metadata collected in a form can drive workflows.
In R5, Aproove has added the capability to directly access a form from the dashboard (without the form having to be part of a workflow task or step). This is a significant enhancement that allows you to access and update the information entered into a form. Why is this useful? Previously if you wanted to add or change information entered into the form, the workflow had to be moved back to the form input step or changed via an ad hoc task containing the form. This was very annoying if you did not want to repeat steps in the workflow to enter additional data.

By de-coupling the form and making it accessible via the dashboard, users can edit or add data to forms that are already in use. Those changes are then populated throughout the workflows. Whatsmore, this is a permission-controlled feature meaning different users can access (edit or read-only) all, none, or only specific forms depending on the permissions.
Other Form Improvements
Some of our more advanced form users create grids within the forms that get populated by a 3rd party system, or the users get invited to complete the required fields (sometimes, it is a hybrid of both).
We added the ability to interact with Aproove's existing "contacts" feature from within the grid. You can add users to your grid by typing the name or email address, and the contacts feature will filter users based on your criteria, making it easy to make selections and eliminate mistakes by manually typing. Additionally, if a user does not exist in your contact database, you can add a new user without needing to leave the form grid. This is a vast time-saving enhancement for our users.
More importantly, this new feature allows you to expand the grid capability to use any contact information. That information is bound to that contact info which may contain much more than just an email address.

Actions and Metadata

We added a new action that is able to extract specific values inside a form grid to reuse somewhere else in the workflow. For example, maybe you added some data that could be used to automatically add description tags to your assets that are bespoke to that project, or maybe you want to extract the contact email address to assign that user to a certain step in the workflow. Please speak to our Customer Success Team to walk you through this feature, as it is much easier to show than explain!

We added a new trigger that executes when you update any data in a form from the dashboard. This trigger can have any action applied and can be bespoke to each form if required.
Dashboard Enhancements

We added the ability to allow users (with the appropriate permissions) to remove another user's project tags from within the dashboard.

The dashboard is now able to display the task description from within the user's task list.
Project Level Chat

The project-level chat feature was introduced in V4. We have now added the ability for the administrator to decide if certain users/groups are able to access the project-level chat function.
